Two engines over one source of truth.
One operating layer with two engines. One knows every client. One runs the money. Both sit over the tools you already use, and we run them with you. Live in 60 days, or you do not pay until it is.
Installed over your existing stack. Run with you. Live in 60 days.
Two leaks, one bottleneck.
A service business with recurring work runs on two things that do not scale: data scattered across tools that disagree, and one person's memory holding the rest. To answer one real question about one client, what do we have, what is missing, what is due, who has paid, someone opens four systems and trusts their memory for the rest.
The knowledge side leaks
Onboarding a client is an afternoon of reading. You chase the same client for the one document you are missing. You find out something went unfiled after the deadline passed.
The revenue side leaks
A recurring obligation slips past its window and gets billed late, chased late, or never billed at all. A signed agreement never turns into an invoice. An overdue balance ages out of anyone's attention.
Revenue does not leak because the work is hard. It leaks because nothing watches the seams.
And the founder is the bottleneck for all of it. Every answer routes through one person. You cannot hire your way out, because the work has no system underneath it.
One OS. Two engines. One source of truth.
One system with two engines over one record. One engine knows every client. One engine runs the money. They read and write to the same database, so the system that answers what a client is, is the same system that bills and files for them.
- Not software you log into and configure yourself.
- Not an agency deliverable you receive and then have to operate.
- Not a rip and replace of the tools you already run.
We install the engines over the stack you already run, your CRM, your accounting tool, your e-sign, your mailbox, and then we run them with you. We do not replace them. We keep them in agreement.
It goes live in 60 days. If it is not live in 60 days, you do not pay until it is.
One that knows every client. One that runs the money.
The first engine knows everything about every client. The second turns that knowledge into collected money. They sit on the same database, so neither has to guess.
The Knowledge Backbone
It reads your whole record and turns it into one profile per client you can ask questions of.
Live and in active rollout. The capabilities below are built and demoed on real cases, not yet a measured time-saved claim.
- Ingests the whole set. Connect your document stores and the backbone reads all of it. The pile of files becomes structured data.
- One profile per client. It unifies CRM, accounting, and document data into one enriched record per client. Three systems that disagree become one that does not.
- Summarizes on demand. A long case becomes a one-screen brief instead of a day of reading. New person on the account, full context in a minute.
- Detects the gaps. It flags what is missing: documents, data, unmet requirements. A checklist of exactly what you do not have, instead of a hope that you do.
- Maps the stakeholders. It extracts the entities and people and draws the ownership structure, so you see who owns what without reconstructing it from memory.
- Generates the documents. The documents your team produces by hand, produced from the record instead.
- Collects the missing information. Instead of chasing a client by email, it sends a personalized form, pre-filled from data you already hold, behind a private link. The client fills the gap.
- Answers questions in plain language. Ask the record anything, the way you would ask an assistant, and get a sourced answer.
The Revenue Engine
It finds every recurring obligation before it slips, bills the moment you approve, gets it signed, and closes the loop on payment.
Proven live at scale across our installs, more than eleven hundred entities and counting.
- Scans every day. A daily job finds every record inside its renewal window and drafts the proposal. A date engine reads ISO dates, free-text anniversaries, and semester schedules alike, so nothing falls through because of how a date was written.
- Drafts, then waits. Each draft lands in a review queue. The team sees the lines, the amounts, and the date, and edits any of it before anything moves. This is the first human gate.
- Bills on approval. A click raises the invoice in your accounting tool, reusing existing line items instead of cluttering the books. Anyone prepaid skips invoicing.
- Sends for signature. One click sends the right document for e-signature on the correct template. When the client signs, the status mirrors back on its own. Documents auto-extend before they expire, so a renewal never stalls silently.
- Confirms. A branded confirmation goes out from your own mailbox, in the client's language, carrying the invoice and document status, so the client has one clear message about what to do next.
- Closes on payment. When the invoice clears, the cycle closes and the date rolls forward a year. A voided invoice cleanly reopens it. Safe undo, every time.
- Follows up on its own. Reminders go out for unsigned documents and unpaid invoices, over email and SMS, with a cooldown so a client is never over-mailed. The founder stops being the person who chases.
Judgment stays human. The drag goes away.
The Backbone is the truth. The Revenue Engine runs off it.
One record, two engines. When the Backbone knows a client's structure and requirements, the Revenue Engine has what it needs to draft the right proposal, send the right document, and track the right filings. When the Backbone detects a missing document, the Revenue Engine knows not to close a cycle that is not really complete. The knowledge engine feeds the money engine. Neither has to guess.
Built to be trusted with the money and the record.
One system of record
A live sync across the tools you already run, re-validated against each tool's own API, so the engine never trusts a stale copy.
A real-time command center
One view of every client: renewal status, document status, days overdue, and a priority score from 0 to 100. It refreshes every sixty seconds.
A full audit log and nightly backups
Every edit captured: who changed what, the old value and the new. The whole database snapshotted every night on a rolling window, restored in seconds.
A universal data manager
Every table editable through one schema-driven grid with inline edit and CSV import. New kinds of data are added by configuration, not by writing new code.
[ MEASURED ]Built and running in production across our live installs, not a prototype.
Sixty days is the ceiling, not the runway.
Week 2
One client list the whole team agrees on. We reconcile your tools and spreadsheets into one clean system of record.
Week 4
Your systems stop disagreeing. We embed into the CRM, the accounting tool, and the e-sign you already run, and the live sync keeps them in agreement.
Week 5
One screen that answers the only three questions. The command center goes live: every client, every status, the priority score, the sixty-second refresh.
Week 7
The recurring cycle runs itself. The scan, the draft proposals, the approve-before-bill gate, the invoicing, the e-sign, the confirmations, the auto-close, and the follow-up, all on.
Week 8
The book is safe to run. We layer in deadline and filing tracking, the per-user audit log, and the nightly backups.
Day 60
You are live and we keep tuning. A weekly call, a monthly report, and a dedicated channel. The install ends. The improvement does not.
Live by day 60. Most go live faster.
Operational lift you keep. Financial lift you measure.
- The founder stops being the bottleneck.
- The recurring cycle runs as one tracked pipeline instead of one person's memory.
- Onboarding a client stops being a day of reading a document pile.
- One answer to who has paid, who is overdue, and who is unfiled, refreshed every minute.
Closing the seams recovers recurring revenue that leaks under manual operations. Estimate.
Automation removes most of the hours spent on the scan, the drafting, the syncing, and the follow-up. Estimate.
We model these openly. Every figure here is an estimate, not a measured client result. Ask us for the worksheet and we will run it on your portfolio.
The loop, running in production.
Across our live installs, the recurring cycle runs from due date to signed and paid, on systems we built and run. The first live document went out and came back signed in production.
The install is the floor, not the ceiling.
- A full client self-service portal: clients check status, upload documents, sign, and pay themselves.
- Voice and chat intake: capture client information and documents by voice note and message, not just forms.
- More regions and regulatory regimes as the compliance engine extends.
- Two-way CRM sync, inbound as well as outbound, so the CRM and the engine never disagree.
- Deadline automation: automatic filing-deadline tracking and alerts.
- Collections and dunning automation, escalating reminders with the cooldowns already built in.
- Cross-sell to the other engine, Growth OS. Once the back office is clean, the same operating layer carries the engine that fills the pipeline.
