A multi-entity firm runs on two things that do not scale: scattered data and one person's memory. The incorporation documents sit in a SharePoint folder. The renewal dates live in a spreadsheet. The CRM has half the contacts and none of the filings. QuickBooks knows about invoices the CRM never heard of. To answer one real question about one client, what do we have, what is missing, what is due, who has paid, someone opens four systems and trusts their memory for the rest.

  • Ingests the whole document set. Connect a client's SharePoint folders and the backbone scans all of it. It handles real scale: a live case with 1,281 folders connected, and individual cases of a hundred-plus documents ingested in one pass.
  • Builds one profile per client. It unifies CRM, accounting, and document-store data into a single enriched record for each client and entity. The three systems that disagree become one record that does not.
  • Summarizes on demand. A hundred-document case becomes a one-screen brief instead of a day of reading. New person on the account, new context in a minute.
  • Detects the gaps. It flags missing documents, missing data, and unmet filing requirements. A checklist of exactly what you do not have, instead of a hope that you do.
  • Maps the stakeholders. It extracts the entities and individuals and draws the ownership structure as a relationship diagram. You see who owns what without reconstructing it from memory.
  • Generates the documents. Engagement letters, entity-formation documents (EIN, Articles of Incorporation, Operating Agreements), and compliance filings including BOI and FinCEN beneficial-ownership reports. Produced from the record.
  • Collects the missing information for you. Instead of chasing a client by email for the form you need, the backbone sends a personalized form, pre-filled from data you already hold, as a private link with an access code. The firm stops being a collections agent for its own paperwork.
  • Answers questions in plain language. Ask the case anything, the way you would ask an assistant, over a client's full record. Plain-language questions, sourced answers.

The Renewal Engine

It turns the source of truth into collected money. This is the engine proven live at scale, across two installs and more than eleven hundred entities.

  • Scans. A daily cron finds every entity inside its renewal window and drafts the proposal automatically. The date engine reads ISO dates, Spanish anniversary text, and semester schedules, so nothing falls through because of how a date was written.
  • Drafts, then waits. Each draft lands in a queue for review. The team sees the lines, the amounts, and the renewal date, and edits any of it inline before anything moves. This is the first human gate.
  • Bills on approval. A click creates the invoice in QuickBooks, reusing your existing service items instead of cluttering the books. Prepaid entities skip invoicing. Nothing reaches your books unapproved.
  • Sends the engagement letter. One click sends the jurisdiction-correct letter for e-signature through Zoho Sign. When the client signs, the signed status mirrors back to the CRM on its own. Documents auto-extend up to three times before they expire, so a renewal never stalls silently.
  • Confirms. A branded, bilingual confirmation email goes out from the firm's own mailbox, carrying the invoice and letter status, so the client has one clear message about what to do next.
  • Closes itself on payment. When the invoice clears, the cycle closes and the renewal date rolls forward a year. A voided invoice cleanly reopens the renewal. Safe undo, every time.
  • Follows up on its own. A bilingual follow-up engine sends reminders for unsigned documents and unpaid invoices, with a cooldown so a client is never over-mailed. Email and SMS. The founder stops being the person who chases.

The challenge

Renewals ran on memory and email. The founder personally chased registered agents in each jurisdiction, with no queue and no shared view of who had paid or who was overdue. The data made it worse: 137 entities lived in a spreadsheet, 322 accounts in the CRM, and 46 records disagreed across the two. Revenue did not leak because the work was hard. It leaked because nothing watched the seams.

What we built

A daily scan that drafts every due renewal

A cron runs a 60-day window across all six jurisdictions and writes a draft proposal for each due entity, with line items computed from the service catalog. A date engine reads ISO dates, free-text anniversaries, and semester schedules, so years of messy history still land on the right day.

Approve-before-bill invoicing in QuickBooks

Nothing bills until a person approves. On approval the system raises the QuickBooks invoice, reusing existing items instead of cluttering the books, then reconciles each entity's expected total against its paid invoices within tolerance.

Jurisdiction-aware e-signature with three-way sync

Engagement letters go out through Zoho Sign on the correct per-jurisdiction template. When the client signs, the status mirrors back to the system of record, the proposal, and the Zoho CRM. A branded Outlook confirmation closes the handoff, and auto-close rolls the renewal forward a year.
